SUMMARY:

The Office Manager supports the sales and installations teams by processing and scheduling jobs, ensuring the correct resources are allocated, and managing accounts payable and receivable.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  •  Pulls backlog report daily
    • Makes sure all job cards in-hand are ready to be scheduled
  • Calls, emails, and/or texts customers to schedule pre-inspects and installs
    • Must have jobs on the schedule in a timely manner
  • Maintains daily production calendar
    • Fills in accurate information regarding projects
  • Coordinates any external work, such as plumbing, electrical, and utilities protect service
  • Obtains permits
  • Processes and files paperwork from Project Managers and Foremen
  • Processes any additional paperwork needed in Production Department via Production Coordinator
  • Responsible for warehouse and inventory activities
  • Administers and monitors credit card purchases
  • Reviews vendor invoices, enters into accounting system, and makes payments
  • Generates customer invoices and enters customer payments, direct deposits, and miscellaneous cash receipts into accounting system
QUALIFICATIONS:
  • Minimum 3 years of experience
    • Home improvement industry experience is a plus
  • Ability to be strategic and think analytically
  • Ability to make decisions
  • Strong communication skills
  • Highly organized and able to prioritize
  • Excellent computer skills
    • Previous experience working in a database
